The Knox County Veterans Service Office is seeking an Office Coordinator to join their team. This is a Classified position under Civil Service, per ORC 5901.07 and is non-exempt from overtime. The Office Coordinator assists the VSO Director and staff in their duties, to maintain all data needed to complete client files and/or financial applications in the agency’s operating system.
 
Essential Functions:

  • Answer telephone calls, direct calls to appropriate employees and/or assuring employees receive messages.
  • Screens calls to office staff where questions could be answered by the Office Coordinator from personal knowledge or by going off check sheets.
  • Computer skills are essential. The coordinator will be responsible for the scheduling of clients for the transportation needs to all VA medical centers.
  • Must maintain transportation and maintenance files.
  • Make timely copies and mails out documents prepared by the Director/CVSO and performs other duties as assigned by the Director.
  • Contact Director, or if unavailable, the Commissioner of the day for any major decisions that need to be made in a timely manner.
 
Minimum Qualifications:
  • High School diploma or equivalent
  • Experience working with the public to include computer, typing, filing, communication and telephone skills Title 59 (5901.01).
  • Current Ohio driver's license and acceptable driving record.
  • Must be a veteran of the Armed Forces of the United States who received an honorable discharge, as defined in Ohio Revised Code 5901.01. Honorable discharge is required for all periods of service.
  • Effective verbal and written communication skills.
  • Strong organizational and customer service skills.
 
Responsibility for Assets: Financial loss possible, but preventable through exercise of discretion and care and oversight by supervisors.
 
Physical Demands: Minimum physical effort, majority of work done while sitting with frequent standing and walking. Minimal amount of bending and lifting of approximately 15lbs for stocking of supplies and filing of goods and materials. A driving requirement exists where interviews cannot take place in the office, and where transportation is required.  Off-site visits to a veteran’s residence requires two staff members.
 
Mental Demand: A variety of problems to be solved under general guidance, some of which are complex, and most of which are subject to check, involves some discretion, dependent action, and judgment to decide what to do. Determine variations from standard procedures, review facts, and determine action to be taken within limits prescribed.
Contacts: Many contacts, as regular part of the job, with other outside departments, requires confidentiality, discretion, and courtesy.
Working Conditions: Normal light, heat, air, and space in work environment, travel involved.
 
Hazards: Little or no personal exposure to any actual or potential harm. Occasional verbal abuse from claimants with threats of violence.
